Medical Operations Coordinator


POSITION: Medical Operations Coordinator

LOCATION: Corporate Office in Franklin, TN

HOURS: 40 hours per week

Support to Medical Doctors

  • General proofreading and correspondence such as letters, attachments, reports, etc.
  • Monthly reporting to the Directors of Medical Operations, including but not limited to:
    • CQI
    • Orientation checklists
    • Nurse peer review

Support to Regional Nurse Managers & Nurse Trainers

  • Logs the following into SharePoint:
    • Nurse orientation checklists
    • Nurse peer reviews
    • 30/90/150 day and annual evaluations
  • Quarterly reporting to the President & Chairman of the Board on:
    • Nurse peer reviews
  • Facilitates the nurse peer review process.
  • Responsible Person List: updates Regional Nurse Manager and Director of Medical Operations changes on:
    • SharePoint Facility List
    • Directors’ version on XDrive/Excel
  • Update Master Call List on SharePoint; fax sheets to facilities (Regional Nurse Managers)

Support for Site Visits

  • Track site visit due dates; format SharePoint tracker each Friday afternoon; email update to Regional Nurse Managers and Directors of Medical Operations
  • Review site visit letters and forms for accuracy; email to facilities and appropriate Director of Medical Operations
  • Monitor medication percentages on site visit forms; if above 35%, crop and send that portion to the appropriate Director of Medical Operations, cc’ing the Corporate Medical Director

Support for Continuous Quality Improvement (CQI)

·       Track CQIs on Excel; format tracker each Friday afternoon; email update to Regional Nurse Managers and Directors of Medical Operations and Chairman of the Board

·       Maintain/update RNM List on SharePoint/XDrive

·       Maintain Continuous Quality Improvement (CQI) minutes and data spreadsheets with special attention to accuracy and retention policy.

·       Monitor patient death metrics on CQI minutes to confirm they correspond to the patient death tracker.

·       Proof all CQI letters and minutes, email to facilities.

·       Assist Regional Nurse Managers with completing CQIs on SharePoint, as needed.

·       Transfer CQI statistics from previous year to new year, as needed.

·       Reporting to the CEO, President and/or Vice President of Mental Health Services, including but not limited to Patient deaths

·       Primary backup to (cross-trained on) Practitioner Coordinator for updating practitioner call schedules on SharePoint and faxing to facilities.

·       Perform all other duties as assigned.

REQUIRED EDUCATION AND EXPERIENCE

  • Bachelor’s degree in field or the equivalent experience.
  • 2+ years of related professional experience.
  • Strong Microsoft Office, Internet, and email skills.
  • Must be able to drive a motor vehicle.
